A small business coach is a professional mentor who helps you, as a business owner (or aspiring entrepreneur) clarify goals, develop growth strategies, and streamline operations.

A good coach provides objective guidance, accountability opportunities to make sure you are reaching your goals, and practical solutions to overcome challenges in sales, marketing, management, and financial planning.

If you ask me, a business coach helps you clarify your next steps, provides insights from past experiences and their own studies, while also making sure you run YOUR business the way you need to.

I have spent 20+ years running a medical marketing agency, without having anyone to mentor me. I was lucky to find many webmaster forums back in the day, so we could share findings in the community. But someone to listen to me, look at my data and come up with the right questions and insights? That I never had.

Did it prevent me from running a successful business?

Not at all.

But I did make a lot of mistakes, I had to restart my company at least 2 times, wasted years with unclear goals, focus and sometimes the wrong clients.

You can start a successful business without me. You can grow it (scale) without my programs. Heck, if a young woman from Romania could start a business in her 20s, immigrate and be successful, you will do to.

But you can speed up the process.

You can learn in 3 months with us at Ablyo more than you could in 3 years.

The complicated part is figuring out what a business owner actually needs help with.

Sometimes you don't need someone to teach you how to run a business. You already know what you're doing.

You just have too many things going on at once and can't see the problem clearly.

Other times, you have a problem you don't know how to solve.

Maybe you have a business idea but no idea whether it's worth pursuing. Maybe you've been in business for two years and still aren't making enough money. Maybe you've grown faster than expected and suddenly have employees, processes and problems you never had before.

That's where a small business coach can be useful.

What does a small business coach do?

A small business coach helps you work through the decisions and problems that come with starting and running a small business.

That can mean very different things depending on the business owner.

A coach might help you:

Decide what type of business to start

Evaluate a business idea

Define your goals

Create a business strategy

Identify problems holding the business back

Work through difficult decisions

Improve business processes

Set priorities

Create an action plan

Stay accountable

Identify opportunities for growth

Improve sales and marketing

Figure out how to attract more customers

Work through challenges with employees

Decide what to outsource

Plan for the next stage of the business

Notice that I said might.

There isn't a standard job description for every small business coach.

Some coaches specialize in startups. Some work with established companies. Some focus on marketing or sales. Some specialize in specific industries. Others work more broadly with the owner and help them figure out what needs attention.

That's why hiring a business coach isn't as simple as searching for "business coach" and choosing the person with the nicest website.

You need someone who understands the kind of problem you're actually trying to solve.

Who needs a small business coach?

You don't need to be failing to work with a business coach.

You also don't need to be making millions of dollars.

A coach can be useful at several different stages of a business.

You're thinking about starting a business

This is one of the situations where coaching can be particularly useful. Maybe you have several business ideas and a skill you think you could turn into a business. Maybe you're tired of your job and want to start something on the side.

The problem is that having an idea and having a viable business are two different things.

A coach can help you look at your options, ask questions you haven't considered and turn a vague idea into something you can actually evaluate.

That doesn't mean the coach should tell you what business to start.

You still have to make that decision.

You have a business but feel stuck

This is incredibly common.

You've been doing the same things for months. You're getting customers, but not enough. You're working constantly, but the business isn't growing. You've tried different marketing tactics. You've changed your pricing. You've bought another software subscription.

Nothing seems to fix the underlying problem.

Sometimes the problem isn't a lack of effort. You're simply too close to the business to see it objectively. A coach can give you an outside perspective and help you identify what is actually holding you back.

Your business is growing

Growth creates problems too.

You may go from doing everything yourself to managing employees. You may suddenly have more customers than your existing processes can handle. You may need to delegate. You may need to raise prices.

You may need to stop doing things that worked when the business was smaller.

A business coach can help you think through those changes instead of making every decision by trial and error.

You have too many options

This is another situation where coaching can help.

Should you hire someone?

Launch a new service?

Spend more on advertising?

Raise your prices?

Target a different market?

Start a second business?

Do nothing?

There isn't always an obvious answer. Sometimes you don't need another strategy. You need someone to help you evaluate the options.

What does a small business coach actually help with?

There are plenty of areas where coaching can be useful.

Business strategy

A coach can help you step back from the day-to-day work and look at the business as a whole.

Who are you selling to?

What are you selling?

Why do customers choose you?

Where does your revenue come from?

What's working?

What's not?

Where do you want the business to be in a year?

These aren't complicated questions. They're just questions that busy business owners don't always stop to answer.

Business goals

"Grow the business" isn't really a goal. It's a wish. A useful goal needs something more specific behind it.

How much do you want to grow?

By when?

What needs to happen to get there?

How will you know whether you're making progress?

A coach can help turn broad ambitions into actual goals and, more importantly, actions.

Marketing and sales

A coach may help you look at how you're finding and converting customers.

That could include:

Target market

Positioning

Pricing

Lead generation

Sales processes

Customer acquisition

Retention

Referrals

Marketing channels

A coach doesn't necessarily become your marketing department.

They can help you understand where the problem is and what you should do about it.

Time management and priorities

Small business owners are very good at being busy. Being busy and being productive are not the same thing.

If you spend your entire week answering emails, fixing tiny problems and doing work that someone else could handle, you may be working hard while the business goes nowhere.

A coach can help you decide what actually deserves your time.

Accountability

This is one of the simplest reasons people work with coaches. You said you were going to do something. Now someone is going to ask whether you did it.

That can be surprisingly effective.

It's easy to postpone something when the only person you're disappointing is yourself. It's harder when you have a meeting next week and have to explain why you didn't do it.

Good accountability isn't someone yelling at you.

It's having another person who knows what you're trying to accomplish and expects you to follow through.

What is the difference between a small business coach and a consultant?

The terms get mixed together, but there's an important difference.

A business coach generally helps you think through problems, make decisions, develop strategies and stay accountable.

A business consultant is usually hired to provide specific expertise and recommendations, and may be more directly involved in implementing the solution.

For example, imagine your sales are falling.

A business coach might help you identify why sales are falling, challenge your assumptions and help you decide what you should change.

A sales consultant might analyze your sales process, recommend specific changes and potentially help implement them.

There is some overlap.

Many people offer both coaching and consulting.

The important thing is to understand what you're actually paying for.

What is the difference between a business coach and a mentor?

A mentor usually shares experience and advice based on their own career or business experience.

A coach is generally more focused on helping you work through your own situation, decisions and goals.

A mentor might say:

"Here's what I did when I had this problem."

A coach might say:

"Let's figure out why this is happening in your business and what options you have."

Neither approach is automatically better.

Sometimes you need someone's experience.

Sometimes you need someone who will ask you questions instead of telling you what they would do.

And sometimes you need both.

What is the difference between a small business coach and a business advisor?

A business advisor generally provides advice or expertise on a specific business issue.

For example, you might hire an accountant to advise you about taxes or a lawyer to advise you about a contract.

A small business coach usually works more broadly with the owner and the business.

Again, the lines aren't always perfect.

Some coaches advise.

Some advisors coach.

The title matters less than understanding what the person actually does.

What happens during a business coaching session?

There isn't one standard format.

A typical session might start by looking at what happened since the previous meeting.

What did you accomplish?

What didn't happen?

What problems came up?

What has changed?

From there, the coach may help you work through a particular problem or decision.

You might discuss:

A new business idea

A difficult customer

Hiring an employee

Pricing

Marketing

Sales

Cash flow

Business goals

A new opportunity

A problem with your current strategy

The conversation should eventually lead somewhere.

You should leave knowing what you're going to do next.

If every coaching session ends with you feeling inspired but you have absolutely no idea what you're supposed to do tomorrow morning, something is missing.

What makes a good small business coach?

There are plenty of people calling themselves business coaches. Some have done fancy courses, spent a ton of money on "looking" successful. They dress the part and you feel small compared to them.

That doesn't automatically mean they know how to help you.

A useful coach should be able to understand your situation before throwing advice at you. It's someone who has DONE the work already, who has failed in many ways, is STILL running a business (and not only the coaching business), has an extensive experience for decades dealing with clients, product positioning etc.

They ask questions

A coach shouldn't walk into the first meeting with a 47-step plan for your business.

They don't know your business yet.

They should ask questions.

Lots of them.

They listen

You don't need another person waiting for their turn to talk.

You need someone who actually understands what you're saying.

They challenge your assumptions

A coach shouldn't agree with everything you say just because you're paying them.

Sometimes you need someone to say:

"I'm not sure that's actually the problem."

That's useful.

They give practical advice

Motivation is nice.

But you can't pay your electric bill with motivation.

You need ideas you can actually use.

They understand small businesses

Running a small business isn't the same as running a Fortune 500 company.

You probably don't have a huge marketing budget, a legal department, an HR department and twelve people whose entire job is to analyze your business strategy.

Your coach needs to understand the reality you're dealing with.

They don't promise miracles

Be careful with anyone promising guaranteed revenue, overnight success or a secret formula nobody else knows. Do not ask for them either.

As a medical marketing agency owner for instance, I cringe when potential clients tell me "can you guarantee x leads a month"?

What I am? God? I cannot guarantee anything. I cannot guarantee x leads/month for my business and I control everything: positioning, pricing, my 25+ years of expertise etc.

What I can gurantee is that I will put all this expertise at your disposal. That I will provide the most current and safe SEO strategies to push your website/GBP up. For Ablyo, I can guarantee to be invested in your success. Provide ALL the intel I have, all my resources after 2 decades of doing business. My time. My knowledge.

There isn't a magic button. Building a business takes work. A good coach can help you make better decisions. They can't do the work for you.

How do you choose a small business coach?

Start with the problem you're trying to solve.

Don't start with the coach.

If you need help starting a business, look for someone who works with entrepreneurs and startups.

If your established business has a sales problem, look for someone who understands sales and customer acquisition.

If you're struggling with managing employees, look for someone with relevant experience.

Then look at how they work.

Ask:

What happens during a coaching session?

How do you help clients identify problems?

Do you provide advice, accountability, consulting, or some combination?

Who do you normally work with?

What types of businesses do you understand?

How long do clients typically work with you?

What happens between sessions?

You should also pay attention to how the conversation feels.

Do they understand your situation? Are they listening? Are they asking useful questions?

Or are they already trying to sell you a $15,000 package before they know what your business does?

How much does a small business coach cost?

There isn't a standard price.

Business coaching can be offered by the hour, through monthly packages, group programs, courses or longer-term coaching arrangements.

The cost depends on the coach's experience, specialization, format and level of involvement.

Some coaches work one-on-one with business owners.

Others offer group coaching.

Some combine coaching with courses, communities, resources or software.

Before you pay, understand exactly what you're getting.

Are you paying for one meeting?

Weekly coaching?

Unlimited communication?

A course?

Access to a community?

Business resources?

Accountability between sessions?

There is a big difference between paying for an hour of conversation and paying for an ongoing support system.

Is a small business coach worth it?

It depends on your situation.

If you already know exactly what you need to do and you're executing consistently, you may not need a coach.

If you're stuck, overwhelmed, unsure which direction to take or constantly making decisions in isolation, coaching may be useful.

The value isn't really in having someone tell you what to do.

It's in having someone who can help you see the business more clearly, think through your options and actually follow through on the decisions you make.

And that's important because a coach can't build your business for you.

You still have to do the work.

Can a business coach help you start a business?

Yes.

A coach can help you evaluate business ideas, understand your target market, think through pricing, identify potential customers and create a practical plan for getting started.

But don't confuse coaching with funding, legal advice or guaranteed business validation.

A coach can help you think through an idea.

They can't guarantee that people will buy it.

You still need to research the market and test the idea in the real world.

Can a business coach help an existing business grow?

Yes.

Growth coaching can involve looking at sales, marketing, pricing, operations, customer retention, staffing and business strategy.

The first step should be figuring out why the business isn't growing as expected.

Throwing more money at advertising isn't necessarily the answer.

Neither is hiring another employee.

Neither is launching another service.

Sometimes the business has a demand problem.

Sometimes it has a pricing problem.

Sometimes it has an operational problem.

Sometimes the owner is simply trying to do too much.

You need to identify the actual problem before choosing the solution.

Small business coaching isn't about telling you what to do

This is probably the most important thing to understand.

You're still the business owner.

You make the decisions.

A good small business coach isn't there to take over your company or pretend they know your business better than you do.

They're there to help you think.

Sometimes that means giving you advice.

Sometimes it means asking uncomfortable questions.

Sometimes it means pointing out something you hadn't noticed.

Sometimes it means helping you turn a huge, overwhelming problem into five things you can actually do this week.

And sometimes it means telling you that the idea you've been obsessing over for six months probably isn't worth pursuing.

That's not about having all the answers.

It's about having someone in your corner who can look at the situation without being emotionally attached to every decision.

For a small business owner, that can be valuable.

Especially when you're the person who normally has to figure everything out yourself.

FAQ

What is a small business coach in simple terms?

A small business coach helps entrepreneurs and small business owners make decisions, solve problems, set goals and take action. They provide an outside perspective and accountability while helping the owner develop their own business.

What does a small business coach help with?

A small business coach may help with business strategy, goals, marketing, sales, pricing, hiring, time management, operations, business ideas, growth and difficult decisions. The specific areas depend on the owner's needs.

Is a small business coach the same as a consultant?

No. A coach generally helps an owner think through problems, decisions and goals, while a consultant is usually hired for specific expertise and recommendations. Some professionals provide both coaching and consulting.

Do I need a business coach to start a business?

No. You can start a business without a coach. Coaching can be useful if you have a business idea but aren't sure which direction to take, need help creating a plan or want accountability while getting started.

How often should you meet with a business coach?

It depends on what you're trying to accomplish. Some business owners meet weekly, while others meet every two weeks or once a month. The right schedule depends on the complexity of the problems and how much accountability you need.

Can a business coach guarantee business growth?

No legitimate coach can guarantee that your business will grow by a specific amount. A coach can help you develop strategies, identify problems and make better decisions, but the outcome depends on many factors outside the coach's control.

What should I look for in a small business coach?

Look for someone who understands businesses like yours, asks good questions, listens, provides practical guidance and is clear about how their coaching works. Relevant experience matters more than impressive-sounding promises.

How much does a small business coach cost?

There is no standard price. Coaches may charge hourly rates or offer monthly packages, group programs, courses or longer-term arrangements. Compare what is actually included rather than comparing the headline price alone.

Can a small business coach help if my business is stuck?

Yes. One of the reasons business owners seek coaching is because they can't identify what is holding the business back. A coach can provide an outside perspective and help you work through possible causes, options and next steps.

Is business coaching worth the money?

It can be if the coaching helps you make better decisions, avoid expensive mistakes, solve a problem or stay accountable. It may not be useful if you already have a clear strategy and consistently execute it.

The question isn't whether business coaching is inherently worth the money.

It's whether having the right person helping you is worth the cost for your particular situation.

Running a business means keeping track of a lot of things.

Customers. Leads. Employees. Projects. Tasks. Proposals. Contracts. Invoices. Documents. Deadlines. Payments.

When your business is small, you can probably keep most of it in your head.

Then you get more customers.

You hire someone.

You take on more projects.

You start using a spreadsheet for one thing, an app for another, email for something else, and a collection of random documents that only make sense to you.

Eventually, you have a problem.

You don't necessarily need more software. You need less software that does more.

That's where Business Management Software (BMS) comes in.

Business management software is a system that brings different parts of running a business into one place. Depending on the platform, it can help you manage customers, sales, projects, employees, finances, documents, communication and day-to-day operations.

The exact features vary from one BMS to another.

And that's important.

There isn't one universal definition of what a business management platform has to include. Some are designed for specific industries. Some focus on operations. Some combine CRM and project management. Others are closer to full ERP systems.

For a small business, the main appeal is usually much simpler:

You want to run your business without having to constantly jump between different tools.

How do I choose the right BMS for my business?

Start by figuring out what you actually need to manage.

Don't start by looking at software.

That's how you end up buying a platform with 200 features because you liked the demo, only to discover that you use seven of them.

Make a list of the things you currently manage.

For example:

Leads

Customers

Sales

Projects

Tasks

Employees

Contractors

Proposals

Estimates

Contracts

Invoices

Payments

Documents

Internal information

Client communication

Reports

Then ask yourself where all of that information currently lives.

If the answer is something like "Google Drive, Excel, Gmail, Slack, QuickBooks, three other apps and Sarah's laptop," you have a good reason to consider a business management system.

Think about your business size

A two-person consulting company doesn't need the same system as a multinational corporation.

Look for software designed for businesses around your size.

Enterprise software can be powerful, but that doesn't mean it's appropriate for a small business. If implementation takes months and you need a consultant to explain how to create a task, you've probably gone a little too far.

Think about your workflow

The software should fit the way your business works.

If a lead becomes a client, can you move from sales to project management without starting over?

If you create a proposal, can you turn that into a project?

Can you keep client information with the work you're doing for them?

Can you create invoices without copying information from one system into another?

The more connected your workflow is, the less administrative work you have to do.

Look at pricing as your business grows

Don't just look at today's price.

Find out what happens when you add employees, clients or projects.

A platform that costs $30 today might cost considerably more when you have 15 employees.

Also look for limits on things such as contacts, projects, storage, automation and users.

"Unlimited" can mean very different things depending on the software.

Try it with real work

Don't judge a BMS using a fake test account and three imaginary customers.

Take an actual project.

Add an actual client.

Create a proposal.

Create tasks.

Upload the documents you actually use.

See how the workflow feels.

You'll learn more in an hour of real use than you will from watching six hours of sales videos.

Can BMS be customized for specific industries or business sizes?

Yes.

Some business management software is highly customizable. Other platforms are intentionally simple and give you fewer options.

The right amount of customization depends on your business.

A marketing agency might need client projects, recurring tasks, proposals and reporting.

A construction company may need scheduling, job costing and field-service features.

A professional consultant might care more about leads, clients, proposals, contracts, projects and invoicing.

This is also why "best business management software" is a slightly misleading phrase.

The best system for one business may be completely wrong for another.

For smaller companies, flexibility doesn't necessarily mean having thousands of configuration options.

Sometimes it simply means being able to organize the software around how you already work.

What is the best business management software for small businesses?

There isn't one BMS that is best for every small business.

The right choice depends on what you need the software to do.

Some businesses need accounting software first. Others need CRM and sales management. Some need project management. Others want to combine all of these functions.

For a small business that wants to manage several parts of the business from one place, an all-in-one platform such as Ablyo can be useful.

Ablyo brings together functions such as CRM, lead and client management, project management, proposals and estimates, contracts, invoicing, knowledge management and other business tools.

That's a different approach from buying one specialized application for every function.

The important thing is to choose based on your workflow rather than somebody else's "top 10" list.

What is Business Management Software used for?

Business management software is used to organize and manage the everyday activities that keep a business running.

Depending on the platform, you can use it for:

Managing leads and customers

Keep contact information, sales opportunities and customer activity organized.

Managing projects

Create projects, assign tasks, set deadlines and track progress.

Managing employees

Some systems include employee information, tasks, internal communication, time tracking or other HR-related functions.

Creating proposals and estimates

Prepare proposals and estimates without having to build every document from scratch.

Managing contracts

Keep contracts organized and connected to the relevant customer or project.

Invoicing

Create and manage invoices as part of the same workflow as the customer and project.

Managing business information

A business eventually accumulates a huge amount of information.

A good business management system gives you somewhere to keep the information people need to do their jobs.

Reporting

You can use business management software to see what's happening across the business instead of piecing together reports manually.

The exact capabilities depend on the platform.

That's why you should always look at the actual feature set rather than assuming that every BMS does everything.

Do you need a Business Management System?

Maybe.

If you're a freelancer with two clients and no employees, you may not need one.

If you're running a growing company with multiple customers, projects and employees, things get different.

A BMS becomes more useful when:

You're managing several clients

You have multiple projects running at once

More than one person needs access to business information

You're using several disconnected systems

Tasks regularly get forgotten

You spend too much time searching for information

You're entering the same information into multiple systems

You don't have a clear picture of what's happening in the business

You don't need software simply because other businesses use it.

You need it when the cost of not having a system becomes greater than the cost of using one.

How to find the right Business Management System

Start with your problems.

Not your software wish list.

What's annoying you right now?

Are leads falling through the cracks?

Are employees unsure what they're supposed to be doing?

Are projects difficult to track?

Are invoices handled separately from client information?

Does nobody know where important documents are?

Are you paying for six different applications that don't communicate with each other?

Those problems tell you what to look for.

Then consider:

Ease of use: Can your team understand it?

Features: Does it solve the problems you actually have?

Integrations: Does it work with the tools you can't replace?

Scalability: Will it still work when your business grows?

Pricing: Is the cost reasonable now and later?

Support: Can you get help when something goes wrong?

Security: Does the provider properly protect your business information?

And finally:

Will your people actually use it?

That's probably the most important question of all.

A mediocre system that everyone uses is more useful than a spectacular system that everyone hates.

Examples of Business Management Software

There are several types of software that can fall under the broader business management category.

Examples include platforms such as:

Ablyo

Salesforce

HubSpot

Zoho

Microsoft Dynamics 365

Odoo

SAP

Oracle NetSuite

But these aren't identical products.

Some focus heavily on CRM and sales.

Some are ERP platforms.

Some target larger organizations.

Some combine multiple business functions specifically for smaller companies.

So don't assume that because two platforms are both called "business management software," they do the same thing.

How much does Business Management Software cost?

There isn't one standard price.

Business management software can cost anywhere from free to thousands of dollars per month, depending on the platform, number of users, features and level of customization.

Small-business platforms often use monthly or annual subscriptions.

Enterprise systems can involve much larger licensing, implementation, customization and consulting costs.

And the subscription price isn't necessarily the full cost.

You should also consider:

Setup fees

Data migration

Training

Integrations

Custom development

Additional users

Premium features

Support

Implementation services

For a small business, an inexpensive system that you can start using immediately can be much more practical than a massive platform that requires a six-month implementation project.

Types of Business Management Software

"Business management software" is a broad category.

Several types of software can fall under it.

CRM software

Customer Relationship Management software focuses on leads, contacts, sales opportunities and customer relationships.

Project management software

Used to organize projects, tasks, deadlines, assignments and workflows.

Accounting software

Handles financial records, expenses, payments, accounts and other financial processes.

Human Resources software

Helps businesses manage employees, payroll, benefits, time and other HR processes.

Inventory management software

Tracks products, inventory levels, purchasing and fulfillment.

Enterprise Resource Planning software

ERP systems combine multiple core business functions into a centralized system, often for larger or more complex organizations.

Business management platforms

These combine several functions into one system.

For a small business, that might mean CRM, project management, proposals, contracts, invoicing, knowledge management and other operational tools in one platform.

The lines between these categories aren't always perfectly clear.

Modern software increasingly combines functions that used to require separate applications.

Key Features to Look for in Business Management Software

The features you need depend on your business.

However, there are some things worth looking for.

Contact and customer management

You should be able to keep customer information organized and accessible.

Lead management

If your business relies on new customers, you need a way to track prospects from initial contact through conversion.

Project management

Look for projects, tasks, deadlines, assignments and progress tracking if you manage client or internal projects.

Proposals and estimates

If you sell services, creating and managing proposals can be an important part of your workflow.

Contract management

Keeping contracts connected to customers and projects can make them easier to find and manage.

Invoicing

If possible, connect billing to the rest of the customer workflow instead of maintaining a separate system.

Knowledge management

A centralized knowledge base can save a huge amount of time when employees need to find information.

Automation

Automation can handle repetitive tasks and reduce manual work.

But don't automate something simply because you can.

Automating a stupid process just gives you a faster stupid process.

Reporting

You should be able to get useful information about your business without spending half a day building spreadsheets.

User permissions

Different people don't necessarily need access to everything.

Good permissions help protect sensitive information while still giving employees what they need.

Integrations

If you need to keep using another application, make sure your BMS can connect to it.

Mobile access

If you work away from your desk, mobile access can be useful.

Again, don't buy based on the longest feature list.

Buy based on the features you'll actually use.

Benefits of Using Business Management Software

One place for your business

Instead of spreading information across several applications, you can centralize more of it.

Less duplicate data entry

When systems are connected, you don't have to repeatedly copy customer or project information from one application to another.

Better organization

Employees can find the information they need without asking someone else every time.

Better visibility

You can see what's happening across customers, projects, sales and other parts of the business.

Improved collaboration

People can work from the same information rather than maintaining separate versions.

Fewer missed tasks

Tasks, deadlines and reminders make it easier to keep track of work.

More efficient processes

Automating repetitive work can save time.

Easier business growth

A centralized system can give you a structure to build on as your business becomes more complicated.

Lower software costs

An all-in-one platform can potentially replace several separate subscriptions.

Whether it actually saves money depends on what you currently use and what the BMS includes.

Better customer experience

When customer information, projects and communication are organized, you're less likely to make customers repeat themselves or wonder what's happening.

That's not just an efficiency issue.

It's part of running a professional business.

Cloud vs On-Premise Business Management Software

There are two broad ways business software can be deployed.

Cloud-based software

Cloud software runs on the provider's infrastructure and is accessed through the internet.

You don't have to maintain the servers yourself.

Updates are generally handled by the provider, and you can usually access the system from different locations and devices.

For small businesses, cloud software is often the more practical option because you don't need to build and maintain your own IT infrastructure.

On-premise software

On-premise software is installed and operated on your own servers or computers.

This gives the organization more direct control over the infrastructure, but it also means taking responsibility for maintenance, updates, backups and security.

On-premise systems can make sense for organizations with specific technical, regulatory or security requirements.

For many small businesses, however, maintaining your own business software infrastructure isn't particularly appealing.

You have a business to run.

You probably don't want to become a part-time server administrator.

Common Challenges with Business Management Software

A BMS can solve problems, but implementing one can create a few of its own.

Getting people to use it

This is the big one.

If employees don't use the system consistently, the information inside it becomes unreliable.

Moving existing data

You may already have years of customer records, spreadsheets and documents.

Moving everything into a new system takes time.

Choosing too much software

It's easy to become distracted by features.

You need a system that fits your business, not one that wins the feature-count competition.

Poor implementation

Even good software can fail when nobody decides how the company should use it.

Before implementation, establish basic processes.

Where should customer information go?

Where should tasks be created?

Who updates project status?

Where do contracts live?

Who has access to what?

Learning the system

Your team will need time to learn the software.

The easier the system is to use, the less painful this process becomes.

Vendor dependency

Once your business relies heavily on a platform, moving away from it can become difficult.

Before committing, understand how you can export your data and what happens if you eventually decide to leave.

Future Trends in Business Management Software

Business management software is changing.

One major trend is consolidation.

Businesses are tired of paying for a separate application for every small function. As software becomes more capable, platforms are combining CRM, project management, communication, documents, invoicing and other functions.

Another major change is AI.

AI can help with tasks such as summarizing information, drafting content, identifying patterns, automating routine work and finding information.

But AI doesn't eliminate the need for good business processes.

If your customer information is a mess, adding AI doesn't magically organize your business.

It just gives AI a mess to work with.

We can also expect business software to become more automated and connected.

Instead of simply storing information, systems will increasingly help businesses act on it.

That could mean automatically creating follow-up tasks, identifying overdue work, generating reports or moving information between different parts of the business.

The useful part isn't the technology itself.

It's what the technology lets you stop doing manually.

FAQ

What is business management software in simple terms?

Business management software is a tool that helps you run different parts of your business from one place. Depending on the software, it can manage customers, leads, projects, employees, documents, proposals, contracts, invoices and other business activities.

What are the main types of business management software?

Common types include CRM, project management, accounting, HR, inventory management and ERP software. Some all-in-one business management platforms combine several of these functions in one system.

Is business management software the same as ERP?

No, although the two categories overlap.

ERP software is designed to integrate core business processes, often across larger and more complex organizations. Business management software is a broader term that can include simpler platforms designed for freelancers, startups and small businesses.

An ERP can be a type of business management software, but not every business management platform is an ERP.

What features should I look for in business management software?

Look for the features that match your workflow. Common ones include CRM, lead management, project management, tasks, proposals, contracts, invoicing, document management, reporting, automation, integrations and user permissions.

Don't choose software because it has the longest feature list.

Choose it because it solves the problems you're actually having.

If you run a business, you probably have projects.

Maybe you’re an SEO consultant managing five clients. Maybe you run a web development company and have three websites in production. Maybe you’re a freelancer working on a branding project, a marketing campaign and a website redesign at the same time.

Whatever you do, eventually you reach the point where a notebook, spreadsheet and 47 browser tabs stop being a project management system.

That’s where project management software comes in.

Table of Contents

What is a Project Management Software

Who uses Project Management Software?

What’s the purpose of Project Management Software?

What counts as Project Management Software?

Benefits of using Project Management Software

Disadvantages of Project Management Software

Best Project Management Software features

How to choose the Right Project Management tool

FAQ

What is a Project Management Software

Project management software is a tool that helps you organize projects, tasks, deadlines, people, files and other information in one place. Instead of trying to remember what needs to happen next, you can see the work, assign responsibilities, track progress and keep the project moving.

For a small business, that can make a surprisingly big difference.

You don't need a 40-person project management department to benefit from it. If you have clients, employees, contractors or multiple things happening at the same time, project management software can help you keep the chaos under control.

Who uses Project Management Software?

Pretty much anyone who has to get work done with other people.

Project management software is common in large companies, but you don't need a large company to use it. In fact, smaller businesses often have more to gain from having everything organized because there isn't a dedicated project manager sitting around making sure everyone knows what they're supposed to be doing.

Some common users include:

Freelancers

Consultants

Marketing agencies

SEO agencies

Web developers

Designers

Software development teams

Construction companies

Real estate businesses

Professional services firms

Small businesses with internal projects

Remote teams

Nonprofit organizations

A freelancer might use it to manage each client as a separate project.

An SEO agency might have a project for every client, with tasks for technical SEO, content, link building, reporting and monthly reviews.

A web development company might use it to move a website from discovery to design, development, testing and launch.

A small business owner might simply use it to make sure the website redesign, new marketing campaign and office move don't all become one giant mess.

You don't need hundreds of employees or complicated projects.

If you're responsible for getting several things done and need to know who is doing what and when it needs to be finished, project management software makes sense.

What’s the purpose of Project Management Software?

The purpose is pretty simple:

To organize work so you know what needs to happen, who needs to do it and when it needs to be done.

That's it.

Project management software doesn't magically make a difficult project easy. It won't make a client approve something they've been ignoring for three weeks. It won't write your website or fix a developer's bug at 2 a.m.

What it does is give you a central place to manage the work.

A properly organized project should answer basic questions without requiring you to send five emails:

What's the project?

What needs to be done?

Who is responsible for each task?

What's finished?

What's late?

What happens next?

This becomes particularly useful when several people are involved.

Without a project management system, information tends to end up everywhere. Some of it is in email. Some is in Slack. Some is in a spreadsheet. Someone has a Word document on their computer. Someone else has written the deadline on a Post-it note.

And then someone inevitably asks:

"Wait, who was supposed to do that?"

Project management software gives everyone one place to look.

It also creates a record of the project. That matters when a project lasts for weeks or months, or when someone else has to take over the work.

You shouldn't have to dig through ten emails and three Word documents to figure out what happened before you joined a project.

What counts as Project Management Software?

Project management software is any software designed to help you plan, organize, assign, track and complete project work.

That definition covers a lot of different tools.

At the simplest level, project management software might be a task list where you can create a task, give it a deadline and mark it complete.

More advanced systems can include:

Projects and project roadmaps

Tasks and subtasks

Deadlines

Task assignments

Priorities

Status tracking

Team collaboration

File management

Notes and documentation

Time tracking

Calendars

Notifications

Workflows

Reports

Client access

Project templates

The important part isn't how many buttons the software has.

It's whether it actually helps you manage the work.

A spreadsheet can technically be used to manage a project. So can a shared document. You could even create a project management system with sticky notes on a wall.

That doesn't necessarily make those things good project management software.

The difference is that purpose-built software gives you tools specifically designed around managing projects, rather than forcing you to build the system yourself.

And there is another distinction worth making.

Project management software isn't necessarily the same thing as business management software.

A project management tool focuses primarily on projects and tasks.

A broader business management platform can include project management alongside CRM, leads, proposals, contracts, invoicing, internal documentation and other business functions.

That's where a platform like Ablyo takes a different approach. Project management isn't sitting completely on its own. It's part of a larger system for running a small business.

Benefits of using Project Management Software

The obvious benefit is organization.

But organization isn't the only reason businesses use project management software.

Everything is in one place

You don't have to remember which spreadsheet contains the latest version of the project plan.

The project, tasks, deadlines and related information can live together.

That's particularly useful when several people work on the same project.

Everyone knows what they're supposed to do

A task should have an owner.

Instead of saying, "Someone needs to update the landing page," you can assign the task to John and give him a deadline.

Now John knows it's his responsibility, and everyone else knows who is handling it.

That's a small change, but it eliminates a lot of pointless back-and-forth.

You can see project progress

A project isn't finished just because someone says they're working on it.

Project management software lets you see which tasks are complete, which are in progress and which haven't started.

That gives you a much clearer picture of where the project actually stands.

Deadlines become visible

A deadline buried in an email isn't particularly useful.

A deadline attached to a task is much harder to miss.

You can see upcoming work, overdue tasks and important milestones without searching through your inbox.

Fewer things get forgotten

This is one of the biggest benefits for small businesses.

You probably aren't forgetting things because you don't care about them. You're forgetting because you're busy.

A client asks for something while you're working on something else. You answer three emails. Your phone rings. You have a meeting. You finish another task.

Three days later:

"Oh crap. I never did that."

A project management system gives you somewhere to put that task so you don't have to keep it in your head.

Better accountability

When tasks have owners and deadlines, it's easier to see what is happening.

That doesn't mean you need to become the world's most annoying boss and start monitoring every minute someone spends on a task.

It simply means everyone knows what they're responsible for.

Easier handoffs

Projects don't always stay with the same person.

Someone goes on vacation. An employee leaves. A freelancer joins the project. A client hires another agency.

If all the project information exists in one place, the new person doesn't have to reconstruct the entire history from scattered emails.

Better client communication

When you know exactly where a project stands, you can communicate with the client more clearly.

Instead of:

"We're working on it."

You can say:

"The design is finished, development is underway, and we're waiting for the content before we can move to testing."

That sounds a lot more professional because you actually know what's happening.

Less administrative work

Good project management software can remove a lot of repetitive work.

You can create recurring tasks, use templates and automate parts of your workflow, depending on the software you choose.

The less time you spend managing the system, the more useful the system becomes.

Disadvantages of Project Management Software

Yes, there are disadvantages.

Anyone telling you that project management software will solve all your problems has probably just finished writing a sales page.

It takes time to set up

You have to create projects, tasks, users, workflows and deadlines.

If your business is already busy, setting up a new system can feel like one more thing you don't have time to do.

The answer isn't to avoid project management software. It's to start with a simple structure and add complexity only when you need it.

Your team has to actually use it

The best project management system in the world won't help if everyone continues managing their work through email, text messages and memory.

You need some basic rules.

If a task matters, put it in the system.

If the deadline changes, update it.

If the task is finished, mark it complete.

Otherwise, you end up with two systems: the official one and the one people actually use.

Too many features can make things worse

Some project management tools have an absurd number of features.

That's great if you need them.

It's not great if you're a three-person business that just wants to know what needs to be done this week.

A complicated platform can create more administrative work than it removes.

There can be a learning curve

Every new piece of software requires some adjustment.

Your team needs to understand where projects live, how tasks are assigned and how information should be recorded.

The easier the software is to understand, the less of a problem this becomes.

Another subscription

Yes, this one matters.

Small businesses already pay for accounting software, email, cloud storage, CRM software, communication tools, website hosting and approximately 9,000 other things.

Adding another monthly subscription isn't particularly attractive.

This is one reason all-in-one business platforms can make sense for smaller companies. If your project management software also handles other parts of the business, you don't necessarily need to pay for a separate application for every function.

Best Project Management Software features

You don't need every feature under the sun.

You need the features that solve your actual problems.

Here are the ones I'd look for.

Projects

You should be able to create separate projects and keep their tasks and information organized.

Tasks

This is the basic building block.

You should be able to create tasks, assign them to people and track their status.

Deadlines

A task without a deadline tends to become one of those things you'll "get to eventually."

Good project management software makes deadlines obvious.

Task assignments

Every important task should have someone responsible for it.

Project roadmap

A roadmap gives you a broader view of the project rather than forcing you to look at individual tasks one at a time.

Priorities

Not everything is equally urgent.

Your project management system should help you distinguish between "do this today" and "do this whenever you have five minutes."

Collaboration

Your team should be able to communicate around the work without having to search through unrelated conversations.

File and document management

If the project depends on documents, images, contracts or other files, keeping them connected to the project saves time.

Notifications

Useful notifications remind people about important work.

Bad notifications make everyone hate your software.

You want the first kind.

Recurring tasks

If you do the same work every week or every month, you shouldn't have to recreate the same tasks manually.

Templates

Templates are particularly useful for agencies and consultants.

If every new client goes through roughly the same onboarding process, create it once and reuse it.

Reporting

You should be able to answer basic questions such as:

What's finished?

What's overdue?

Who is working on what?

How many projects are active?

Where are projects getting stuck?

You don't necessarily need a NASA control room.

You just need useful information.

How to choose the Right Project Management tool

Start with your business, not the software.

This sounds obvious, but people often do the opposite.

They find a tool with 147 features and then try to figure out how their business should use them.

Instead, write down what you actually need.

Do you manage projects alone?

Do you have employees?

Do you work with contractors?

Do clients need access?

Do you manage five projects or fifty?

Do your projects follow a predictable process?

Do you need recurring tasks?

Do you need proposals, contracts and invoices as well as project management?

Do you need a CRM?

Do you need an internal knowledge base?

These questions will narrow down your options quickly.

Think about the size of your business

A freelancer doesn't need the same system as a 500-person corporation.

If you're running a small business, look for software that doesn't make you pay for a bunch of enterprise features you will never use.

You also don't want pricing that becomes painful every time you hire another person.

Look at the entire workflow

This is where an all-in-one platform can be useful.

For example, imagine you're an SEO consultant.

A potential client becomes a lead.

You manage the lead.

They become a client.

You create a proposal.

They sign a contract.

You invoice them.

The project starts.

You create tasks and assign deadlines.

You communicate with the client.

You store important information in your knowledge base.

You send the invoice.

If your project management tool only handles the tasks, you're still jumping between several other systems.

Ablyo is designed around this broader workflow. Project roadmaps and tasks sit alongside leads and clients, proposals, estimates, contracts, invoicing, internal knowledge and other business-management functions.

For some businesses, having everything connected is more useful than having the world's fanciest task-management interface.

Don't buy software because it has more features

More isn't automatically better.

If you need five features and the software has 150, you're not necessarily getting more value.

You're potentially getting 145 things you have to ignore.

Try it before you commit

You won't know whether a project management tool works for your business until you actually use it.

Set up a real project. Don't create a fake project called "Test Project" with three imaginary tasks. Take one of your actual clients or current projects and put it into the system. Then see what happens.

Does it make your work easier? Can your team understand it without a two-hour training session? Can you find information quickly? Does it reduce the number of things you have to remember?

FAQ

Is project management software worth it?

It can be, especially when you manage multiple projects, people or deadlines.

If you're working alone on one simple project, you might not need dedicated software. A task list could be enough.

But once work starts getting complicated, relying on memory and scattered documents becomes expensive.

The real question isn't whether project management software is worth the money. It's whether the time you lose from missed deadlines, forgotten tasks, poor communication and searching for information costs more than the software.

For many small businesses, it does.

What are some examples of project management software?

Examples include Asana, Trello, Monday.com, ClickUp, Jira, Basecamp and Ablyo.

They aren't all designed for exactly the same type of customer.

Some focus heavily on task and project management. Others combine project management with CRM, communication, documentation, invoicing or broader business-management functions.

The right choice depends on what you actually need to manage.

What counts as project management software?

Project management software helps you plan, organize, assign and track work within a project.

Typical features include projects, tasks, deadlines, assignments, priorities, collaboration and progress tracking.

More comprehensive platforms may also include documents, communication, reporting, automation, client management and other business functions.

A spreadsheet can be used to manage a project, but a purpose-built project management tool provides features specifically designed to organize and track project work.

Which project management software is most used?

There isn't one project management tool that is universally used by every type of business.

Usage varies by company size, industry, team structure and the type of work being managed.

Large organizations may use enterprise platforms such as Jira, Microsoft Project or other corporate systems, while freelancers and smaller businesses often choose simpler tools such as Trello, Asana, ClickUp, Monday.com or all-in-one platforms such as Ablyo.

The number of users isn't the only thing that matters.

If you're a small business, the better question is whether the software fits the way you actually work.

A system that your team understands and uses every day is more useful than an impressive platform that everyone avoids.

What is Opportunity Cost?

Opportunity cost for a small business refers to the potential benefits or profits lost when resources—such as time, money, or labor—are allocated to one choice over another. It represents the cost of the next best alternative that is not pursued.

Why is it important to calculate Opportunity Cost?

You need to calculate opportunity cost to ensure your decisions align with your goals and maximize your resources.

By evaluating trade-offs, you optimize how you use time, money, and effort while identifying the benefits you sacrifice with each choice. Recognizing opportunity cost helps you assess risks, plan strategically, and focus on high-return options.

It prevents regret by informing you of what you give up and promoting financial prudence by guiding investments and spending. Calculating opportunity cost drives profitability and sustainability by helping you prioritize actions with the greatest value.

The formula for calculating Opportunity Cost

The formula for calculating opportunity cost is:

Opportunity Cost = Return on Best Alternative Not Chosen – Return on Chosen Option

This calculation measures the value of what you give up when selecting one option over another. For example, if investing $1,000 in Option A yields a $200 return while Option B could have generated $300, the opportunity cost of choosing Option A is $100 ($300 – $200). This approach helps evaluate trade-offs and make resource-efficient decisions.

How to calculate Opportunity Cost in your SMB

To calculate opportunity cost in your small or medium business (SMB), follow these steps:

Identify Alternatives: Determine the options available for using your resources, such as time, money, or labor.

Estimate Returns: Calculate the potential benefits or profits for each option, considering revenue, savings, or other measurable outcomes.

Select the Best Alternative: Choose the option you decide to forgo for comparison.

Apply the Formula: Use the formula:
Opportunity Cost = Return on Best Alternative – Return on Chosen Option

Evaluate the Trade-Off: Analyze the result to ensure your decision maximizes resource efficiency and aligns with business goals.

For example, if investing in new equipment could increase revenue by $10,000, but allocating funds to marketing could generate $12,000, the opportunity cost of choosing equipment is $2,000. This calculation ensures informed and strategic decisions in your SMB.

Example of an Opportunity Cost analysis for a small business

Imagine a small business with $20,000 available for investment. The owner is considering two options: upgrading equipment or launching a marketing campaign.

Option 1: Upgrade Equipment

Cost: $20,000

Expected Benefit: Increased production efficiency leading to $25,000 in additional revenue over one year.

Net Gain: $25,000 – $20,000 = $5,000

Option 2: Launch Marketing Campaign

Cost: $20,000

Expected Benefit: Expanded customer base, generating $30,000 in additional revenue over one year.

Net Gain: $30,000 – $20,000 = $10,000

Opportunity Cost Calculation

If the owner chooses to upgrade equipment, the opportunity cost is the forgone profit from the marketing campaign:

$10,000 (marketing net gain) – $5,000 (equipment net gain) = $5,000

By choosing equipment, the business sacrifices $5,000 in potential profit. This analysis helps the owner decide which option provides the greatest value.

Explicit vs. implicit costs

Explicit Costs are direct, out-of-pocket payments made during business operations. These include tangible expenses such as wages, rent, utilities, and materials. For example, paying $5,000 monthly for office rent is an explicit cost.

Implicit Costs represent the opportunity costs of using resources already owned, without direct cash outflow. These include foregone income or returns from an alternative use of those resources. For instance, if a business owner works in their company instead of earning a $50,000 salary elsewhere, the implicit cost is $50,000.

Explicit costs are easy to calculate and appear in financial statements, while implicit costs are less obvious but essential for understanding the full cost of decisions and evaluating opportunity costs.

Opportunity Cost vs. Sunk Cost

Opportunity Cost measures the potential benefits lost when choosing one option over another. It focuses on future outcomes and helps guide decisions by highlighting the value of the best alternative foregone. For example, if you invest $10,000 in one project instead of another that could have generated $12,000, the opportunity cost is $2,000.

Sunk Cost refers to money already spent that cannot be recovered. It is irrelevant to future decisions because it cannot change regardless of the choice made. For instance, spending $5,000 on marketing that didn’t produce results is a sunk cost.

While opportunity cost helps evaluate current and future choices, sunk cost should be ignored in decision-making to avoid letting past expenses cloud judgment.

Opportunity Cost vs. Opportunity Benefit

Opportunity Cost represents the value of the best alternative that you give up when making a choice. It focuses on what is lost due to selecting one option over another. For example, if you spend time training employees instead of working on sales, the forgone sales revenue is the opportunity cost.

Opportunity Benefit refers to the gains or advantages you receive from choosing a particular option. It highlights the positive outcomes of a decision. For instance, the improved productivity from employee training could be the opportunity benefit.

While opportunity cost identifies what is sacrificed, opportunity benefit emphasizes the rewards of the selected action. Understanding both helps weigh trade-offs and make better decisions.

Opportunity Cost vs. Risk

Opportunity Cost quantifies the value of the best alternative foregone when making a decision. It focuses on trade-offs and measures what is sacrificed by choosing one option over another. For example, investing in new equipment might mean forgoing profits from a potential marketing campaign. Opportunity cost is a certainty tied to the choice itself.

Risk evaluates the uncertainty and potential negative outcomes associated with a decision. It considers the likelihood and impact of events that could hinder the expected result. For instance, investing in a volatile market carries the risk of financial loss, which depends on external factors beyond the decision-maker’s control.

While opportunity cost is about what is knowingly given up, risk addresses the uncertainty and potential downside of the chosen action. Both concepts are essential for comprehensive decision-making.

Accounting Profit vs. Economic Profit

Accounting Profit is the difference between a business’s total revenue and its explicit costs. Explicit costs include tangible, out-of-pocket expenses such as wages, rent, and materials. The formula is:
Accounting Profit = Total Revenue – Explicit Costs

Economic Profit goes further by considering both explicit and implicit costs. Implicit costs represent the opportunity costs of resources used in the business, such as foregone income from an alternative use of time or capital. The formula is:
Economic Profit = Total Revenue – (Explicit Costs + Implicit Costs)

Key Differences:

Accounting profit focuses solely on measurable expenses and appears in financial statements.

Economic profit evaluates the full cost of business decisions, including missed opportunities, and is used for strategic analysis.

Positive accounting profit may coexist with negative economic profit if implicit costs outweigh the remaining revenue.

Economic profit provides a broader perspective, helping businesses assess long-term sustainability and resource efficiency.

Intangible vs. Tangible Costs

Tangible Costs refer to direct, measurable expenses associated with a specific action or decision. These costs involve physical or financial resources, such as purchasing equipment, paying wages, or utility bills. For example, spending $10,000 on new machinery is a tangible cost.

Intangible Costs are indirect or non-monetary expenses that are harder to quantify but still impact decisions. These costs often involve reputational damage, employee morale, or customer dissatisfaction. For instance, a poorly handled product recall might harm brand image, representing an intangible cost.

Key Differences:

Tangible costs are easy to quantify and appear in financial statements, while intangible costs require qualitative assessment.

Tangible costs directly affect cash flow, whereas intangible costs influence long-term outcomes, such as loyalty or productivity.

Decision-making often involves balancing these costs to ensure both short-term financial health and long-term sustainability.

FAQ

What is an opportunity cost example?

Opportunity cost is the value of the best alternative forgone. For example, spending $10,000 on equipment instead of a marketing campaign that could generate $12,000 means the opportunity cost is $2,000 in potential profit.

How do you calculate cost per opportunity?

To calculate cost per opportunity, divide total expenses by the number of opportunities created. For example, if $5,000 is spent on a campaign that generates 50 opportunities, the cost per opportunity is $100 ($5,000 ÷ 50).
